So, if your organization is switching its operations to this platform, the assistants may need some tips on how to support their managers with it. In this article we will share with you some best practices on how assistants can effectively use Microsoft Teams.<\/p>\n\n\n\n<div style=\"height:100px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-about-manager-assistant-scenario-in-microsoft-teams\">About manager-assistant scenario in Microsoft Teams<\/h2>\n\n\n\n<div style=\"height:50px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p>Microsoft Teams was built was a high level of security in mind. Therefore, delegation, which is intrinsic to manager-assistant scenario, isn\u2019t supported in Teams with exception for calls and scheduling meetings. You won\u2019t be able to access another user\u2019s private chat conversations. Although technically possible if the manager shares their credentials and then use calling phone number as the authentication method, we don&#8217;t recommend it as it endangers the security of the account.<\/p>\n\n\n\n<p>However, there are ways to go around these restrictions in Microsoft Teams if you decide to move from \u2018impersonation\u2019 of the manager to acting \u2018on behalf of\u2019.<\/p>\n\n\n\n<p>There are quite a few tools within Microsoft Teams that permit efficient manager-assistant collaboration.<\/p>\n\n\n\n<div style=\"height:100px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-channel-conversations\">Channel conversations<\/h2>\n\n\n\n<div style=\"height:50px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p>Assistants can easily post messages or reply to channel conversations on behalf of their manager. You will just need to add them to the right team. The only thing is that they can\u2019t post as the manager, so they need to follow a specific message format to let everyone know they\u2019re communicating on manager\u2019s behalf.<\/p>\n\n\n\n<p>For example, they may add \u2018pp\u2019 in the end of a message and @mention their manager to indicate their approval.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img fetchpriority=\"high\" decoding=\"async\" width=\"1024\" height=\"297\" src=\"https:\/\/nboldapp.com\/wp-content\/uploads\/2022\/04\/announcement-1024x297.png\" alt=\"mention manager in Microsoft teams conversation\" class=\"wp-image-10092\" srcset=\"https:\/\/nboldapp.com\/wp-content\/uploads\/2022\/04\/announcement-1024x297.png 1024w, https:\/\/nboldapp.com\/wp-content\/uploads\/2022\/04\/announcement-300x87.png 300w, https:\/\/nboldapp.com\/wp-content\/uploads\/2022\/04\/announcement-768x223.png 768w, https:\/\/nboldapp.com\/wp-content\/uploads\/2022\/04\/announcement.png 1358w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>If managers are members of any private channel, they might need to handle the communication themselves, unless the topics allow the assistant&#8217;s involvement. If so, they should be invited to the private channel and communicate following the same format discussed above.<\/p>\n\n\n\n<div style=\"height:100px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-meetings-and-emails\">Meetings and emails<\/h2>\n\n\n\n<div style=\"height:50px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p>Assistants can easily schedule meetings in Microsoft Teams on behalf of their managers by simply adding them as required participants. The invitation will be sent from the assistant\u2019s account, but the manager will appear as an attendee.<\/p>\n\n\n\n<p>You may want to use Scheduling Assistant for that as this tool allows to find the right time slot that works best for all the participants.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" width=\"1024\" height=\"652\" src=\"https:\/\/nboldapp.com\/wp-content\/uploads\/2022\/04\/schedule-a-meeting-1024x652.png\" alt=\"schedule a meeting with a manager in microsoft teams\" class=\"wp-image-10093\" srcset=\"https:\/\/nboldapp.com\/wp-content\/uploads\/2022\/04\/schedule-a-meeting-1024x652.png 1024w, https:\/\/nboldapp.com\/wp-content\/uploads\/2022\/04\/schedule-a-meeting-300x191.png 300w, https:\/\/nboldapp.com\/wp-content\/uploads\/2022\/04\/schedule-a-meeting-768x489.png 768w, https:\/\/nboldapp.com\/wp-content\/uploads\/2022\/04\/schedule-a-meeting-1536x978.png 1536w, https:\/\/nboldapp.com\/wp-content\/uploads\/2022\/04\/schedule-a-meeting-2048x1304.png 2048w, https:\/\/nboldapp.com\/wp-content\/uploads\/2022\/04\/schedule-a-meeting.png 1451w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>You can else set up Delegate Access in Outlook so that the assistant can have access to the manager\u2019s inbox and calendar. Delegate Access allows to receive and respond to email messages as well as meeting invitations.<\/p>\n\n\n\n<p>You can find detailed instructions on how to set up delegation in Outlook <a href=\"https:\/\/support.microsoft.com\/en-us\/office\/allow-someone-else-to-manage-your-mail-and-calendar-41c40c04-3bd1-4d22-963a-28eafec25926\">ici<\/a>.<\/p>\n\n\n\n<p>Note however, that the mailbox owner will appear as the meeting organizer, so meeting participants will receive the meeting invitation from the assistant.<\/p>\n\n\n\n<div style=\"height:100px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-calls\">Calls<\/h2>\n\n\n\n<div style=\"height:50px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p>Good news \u2013 Microsoft Teams does support call delegation. So, you can easily add your assistant as a delegate and forward all your incoming calls go to them. Additionally, they can also make calls on your behalf.<\/p>\n\n\n\n<p>The feature is only available for Business Voice\/Calling plan license though. So, make sure to activate it if you wish to use this capability.<\/p>\n\n\n\n<div style=\"height:100px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-tasks\">T\u00e2ches<\/h2>\n\n\n\n<div style=\"height:50px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p>Microsoft fully supports assistant-manager scenario in Teams when it comes to task management. If you use <a href=\"https:\/\/nboldapp.com\/fr\/8-tips-for-getting-the-most-of-microsoft-planner\/\" target=\"_blank\" rel=\"noreferrer noopener\">Microsoft Planner<\/a> for task management, assistants can have full access to it. You can use this tool as a personal organizer, which can be especially helpful for assistants. You can create a shared notebook for both assistant and the manager. Then, separate it into different sections and pages to better structure your notes. <\/p>\n\n\n\n<p>OneNote supports any type of content. So, you can easily add absolutely anything there \u2013 from article passages with Web Clipper, to videos and pdfs.<\/p>\n\n\n\n<p>OneNote also allows you to convert images to text with Optical Character Recognition and hear specific paragraphs with Immersive Reader.<\/p>\n\n\n\n<p>This is a perfect tool that supports manager-assistant scenario with the ability to add meeting minutes, organize weekly\/monthly agenda etc.<\/p>\n\n\n\n<div style=\"height:100px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-approvals\">Agr\u00e9ments<\/h2>\n\n\n\n<div style=\"height:51px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p>Assistants may often deal with documentation that requires manager\u2019s approval and signature. To facilitate this process Microsoft developed a tool in Teams called <a href=\"https:\/\/nboldapp.com\/fr\/microsoft-teams-approvals-app\/\" target=\"_blank\" rel=\"noreferrer noopener\">Agr\u00e9ments<\/a>.
