Ensuring an efficient level of collaboration requires establishing sufficient communication channels between company employees and everyone else. Microsoft Teams brings the outside in<\/a> as a prominent collaboration solution and provides multi-level collaboration features to increase productivity and eliminate any lack of communication.<\/p>\n\n\n\n

Internal collaboration is highly supported, but you can also collaborate with people outside your organization through different approaches. External access and guest access are the primary forms Microsoft Teams offers. This article will introduce both and demonstrate their differences and how they work.<\/p>\n\n\n\n

External vs. guest users<\/h2>\n\n\n\n

Users of Microsoft Teams can contact people both internally and from other organizations and even invite them into their digital workspace with various permissions.<\/p>\n\n\n\n

There are two main ways of collaborating with people outside your organization with Microsoft Teams. You can grant them either an external access or a guest access. <\/p>\n\n\n\n

The key differences<\/h3>\n\n\n\n

Simply put, you can grant external access only to users who use Microsoft Teams, Skype, or Skype for Business. They are not members of any of your teams, but you can still communicate with them. Guest access, on the other hand, allows you to invite external users to join your team. They get a guest account on Azure Directory. <\/p>\n\n\n\n

Search functionality<\/h4>\n\n\n\n

Organization users could search for external access users<\/strong> in other organizations using their email addresses or Session Initiated Protocol. Meanwhile, they can\u2019t find guests<\/strong> through search functionality. <\/p>\n\n\n\n

Share files<\/h4>\n\n\n\n

Organization users can\u2019t share files with external users<\/strong> but can normally share them with guests<\/strong>.<\/p>\n\n\n\n

Out-of-office message<\/h4>\n\n\n\n

Organization users can\u2019t see the out-of-office message of external users<\/strong> in another organization but can see it for guests<\/strong>.<\/p>\n\n\n\n

Blocking users<\/h4>\n\n\n\n

Organization users can\u2019t block external access users<\/strong> in another organization but can block guests<\/strong>.<\/p>\n\n\n\n

Using mentions<\/h4>\n\n\n\n

Organization users can utilize mentions with external access users<\/strong> in 1:1 chat for Teams Only users from different organizations. Meanwhile, they can\u2019t mention guests<\/strong>. At the same time, people from outside the organization can mention external users<\/strong> and guests<\/strong>.<\/p>\n\n\n\n

Accessing resources<\/h4>\n\n\n\n

External users<\/strong> can\u2019t access Teams resources, but guests<\/strong> can.<\/p>\n\n\n\n

Viewing phone numbers<\/h4>\n\n\n\n

Guests<\/strong> can view the phone numbers for dial-in meeting participants, but external access users<\/strong> can\u2019t.<\/p>\n\n\n\n

Microsoft Teams tip<\/em><\/h5>\n\n\n\n

Typically, it\u2019s not allowed for external participants to see the phone numbers of dial-in participants. Go to Tones<\/strong> for Entry\/exit announcement type<\/strong> to adjust these phone numbers\u2019 privacy settings.<\/p>\n\n\n\n

Meet now feature<\/h4>\n\n\n\n

External users<\/strong> can\u2019t use the Meet Now feature, while guests<\/strong> can do that by default unless Teams admin disables it.<\/p>\n\n\n\n

With external users, you can only set up calls, invite them to meetings and chat. However, these users can\u2019t share, view, or access files across other Teams domains.<\/p>\n\n\n\n

Turning on External access<\/h3>\n\n\n\n

From Microsoft Teams Admin Center<\/a>:<\/strong><\/p>\n\n\n\n

  1. Click Org-wide settings<\/strong><\/li>
  2. Select External access<\/strong><\/li>
  3. Switch on Users can communicate with other Skype for Business and Teams users<\/strong><\/li><\/ol>\n\n\n\n

    External access configuration<\/h3>\n\n\n\n

    It is enabled for all Microsoft Teams domains by default. However, it\u2019s possible to restrict that setting by allowing or blocking particular domains in Teams. From Microsoft Teams Admin Center<\/strong>:<\/p>\n\n\n\n

    1. Click Users<\/strong><\/li>
    2. Select External access<\/strong><\/li>
    3. Choose one of the options to Allow all external domains (open federation)<\/strong>, Allow only specific external domains<\/strong>, Block all external domains<\/strong>, or Block specific domains<\/strong>.<\/li><\/ol>\n\n\n\n
