Believe it or not, that would be the case if your team has miscommunication issues. Communication is not exclusive to team members. It extends to many other parties from outside the organization\u2014 contractors, clients, consultants, outsourcing professionals, etc.<\/p>\n\n\n\n<p>Ensuring an efficient level of collaboration requires establishing sufficient communication channels between company employees and everyone else. Microsoft Teams <a href=\"https:\/\/www.forbes.com\/sites\/forbescommunicationscouncil\/2020\/03\/27\/bringing-the-outside-in-external-communications-best-practices-that-work-for-internal-communicators\/?sh=6075684c48be\" target=\"_blank\" rel=\"noreferrer noopener\">brings the outside in<\/a> as a prominent collaboration solution and provides multi-level collaboration features to increase productivity and eliminate any lack of communication.<\/p>\n\n\n\n<p>Internal collaboration is highly supported, but you can also collaborate with people outside your organization through different approaches. External access and guest access are the primary forms Microsoft Teams offers. This article will introduce both and demonstrate their differences and how they work.<\/p>\n\n\n\n<div style=\"height:100px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-external-vs-guest-users\">External vs. guest users<\/h2>\n\n\n\n<div style=\"height:50px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p>Users of Microsoft Teams can contact people both internally and from other organizations and even invite them into their digital workspace with various permissions.<\/p>\n\n\n\n<p>There are two main ways of collaborating with people outside your organization with Microsoft Teams. You can grant them either an external access or a guest access.&nbsp;<\/p>\n\n\n\n<div style=\"height:50px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-the-key-differences\">The key differences<\/h3>\n\n\n\n<p>Simply put, you can grant external access only to users who use Microsoft Teams, Skype, or Skype for Business. They are not members of any of your teams, but you can still communicate with them. Guest access, on the other hand, allows you to invite external users to join your team. They get a guest account on Azure Directory.&nbsp;<\/p>\n\n\n\n<p>Here are <a href=\"https:\/\/docs.microsoft.com\/en-us\/microsoftteams\/communicate-with-users-from-other-organizations\">the differences in more detail<\/a>:<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-search-functionality\">Search functionality<\/h4>\n\n\n\n<p>Organization users could search for <strong>external access users<\/strong> in other organizations using their email addresses or Session Initiated Protocol. Meanwhile, they can\u2019t find <strong>guests<\/strong> through search functionality.&nbsp;<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-share-files\">Share files<\/h4>\n\n\n\n<p>Organization users can\u2019t share files with <strong>external users<\/strong> but can normally share them with <strong>guests<\/strong>.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-out-of-office-message\">Out-of-office message<\/h4>\n\n\n\n<p>Organization users can\u2019t see the out-of-office message of <strong>external users<\/strong> in another organization but can see it for <strong>guests<\/strong>.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-blocking-users\">Blocking users<\/h4>\n\n\n\n<p>Organization users can\u2019t block <strong>external access users<\/strong> in another organization but can block <strong>guests<\/strong>.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-using-mentions\">Using mentions<\/h4>\n\n\n\n<p>Organization users can utilize mentions with <strong>external access users<\/strong> in 1:1 chat for Teams Only users from different organizations. Meanwhile, they can\u2019t mention <strong>guests<\/strong>. At the same time, people from outside the organization can mention <strong>external users<\/strong> and <strong>guests<\/strong>.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-accessing-resources\">Accessing resources<\/h4>\n\n\n\n<p><strong>External users<\/strong> can\u2019t access Teams resources, but <strong>guests<\/strong> can.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-viewing-phone-numbers\">Viewing phone numbers<\/h4>\n\n\n\n<p><strong>Guests<\/strong> can view the phone numbers for dial-in meeting participants, but <strong>external access users<\/strong> can\u2019t.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><em>Microsoft Teams tip<\/em><\/h5>\n\n\n\n<p>Typically, it\u2019s not allowed for external participants to see the phone numbers of dial-in participants. Go to <strong>Tones<\/strong> for <strong>Entry\/exit announcement type<\/strong> to adjust these phone numbers\u2019 privacy settings.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-meet-now-feature\">Meet now feature<\/h4>\n\n\n\n<p><strong>External users<\/strong> can\u2019t use the Meet Now feature, while <strong>guests<\/strong> can do that by default unless Teams admin disables it.<\/p>\n\n\n\n<p id=\"h-here-s-what-you-can-only\">With external users, you can only set up calls, invite them to meetings and chat. However, it\u2019s possible to restrict that setting by allowing or blocking particular domains in Teams. Guests are pretty close to external access users but they can also view and share files and join group chats. Guests are semi-native Microsoft Teams members who can only share data within Teams where they\u2019ve been invited. In other words, guests can\u2019t join and share in any external spaces.<\/p>\n\n\n\n<div style=\"height:50px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-turning-on-guest-access\">Turning on Guest access<\/h3>\n\n\n\n<p>From <strong>Microsoft Teams Admin Center<\/strong><\/p>\n\n\n\n<p>1.Click <strong>Org-wide settings<\/strong><\/p>\n\n\n\n<p>2. Select <strong>Guest access<\/strong><\/p>\n\n\n\n<p>3. Select <strong>Allow guest access in Teams<\/strong><\/p>\n\n\n\n<p>4. For example, you can enable\/disable chats, send messages, delete messages, make private calls, screen sharing mode, allow Meet Now, and many other features.<\/p>\n\n\n\n<div style=\"height:50px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-adding-a-guest-to-a-team\">Adding a Guest to a Team<\/h3>\n\n\n\n<p>Note that only team owners can add guests in Teams. From Microsoft Teams Admin Center:<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Click <strong>Teams<\/strong><\/li><li>Select <strong>More options<\/strong> (\u2026) then click <strong>Members Tab<\/strong><\/li><li>Under the <strong>Members &amp; Guests<\/strong> section<\/li><li>Choose the guest you wish to remove<\/li><li>Click on \u201c<strong>X<\/strong>\u201d<\/li><\/ol>\n\n\n\n<figure class=\"wp-block-image is-resized\"><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/lh4.googleusercontent.com\/0v5iyETyZUIz1VzgupLwHJRkCIyAPm9yDCZC13AQ-N0cO5UlQ6HFgcPzyGtZqhT0Q-Yh7_F9wv4iOsWoAiltVmdvihmRL8epenn4kI7-Z79j99r40cxUhkiqDBejpb0sPx_i4Zbw9hunoKn9aQ\" alt=\"\" width=\"450\" height=\"409\"\/><\/figure>\n\n\n\n<p id=\"h-notes\"><strong><em>Note<\/em>:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Once you invite a guest, they\u2019ll receive an invitation email welcoming them to Microsoft Teams.<\/li><li>Guests must have a Microsoft 365 account, and if they don\u2019t have one, they\u2019ll be asked to create a new account.<\/li><\/ul>\n\n\n\n<div style=\"height:100px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-what-features-do-guests-have-access-to\">What features do guests have access to?<\/h3>\n\n\n\n<p>Guests in Microsoft Teams can:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Create channels if allowed by Teams owner&nbsp;<\/li><li>Participate in a private chat, make a private call, and use IP video<\/li><li>Get invited to group chats and meetings<\/li><li>Use Gifs, memes, and stickers in conversations<\/li><li>Participate in a channel conversation<\/li><li>Send, delete and edit messages<\/li><li>Share channel files and access Teams resources<\/li><li>Use mentions, Meet Now, and screen sharing mode<\/li><\/ul>\n\n\n\n<p><em><strong>N<\/strong><\/em><strong><em>ote<\/em>:<\/strong> the above features are enabled by default in Microsoft Teams. However, Teams admins can disable them to control what Guests can access.<\/p>\n\n\n\n<div style=\"height:100px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-organizing-the-collaboration-with-people-outside-your-organization-in-microsoft-teams\">Organizing the collaboration with people outside your organization\u00a0in Microsoft Teams<\/h2>\n\n\n\n<div style=\"height:50px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p>Now that you know what guest and external users entail and how you can add them to your teams, let us dive deeper on how to actual collaborate with people outside your organization in Microsoft Teams.&nbsp;<\/p>\n\n\n\n<div style=\"height:50px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-chatting\">Chatting&nbsp;<\/h3>\n\n\n\n<p>To start <a href=\"https:\/\/nboldapp.com\/chat-in-microsoft-teams\/\" target=\"_blank\" rel=\"noreferrer noopener\">chatting<\/a> with an external user, go to the chat section and create a new conversation. Input the email address or the phone number of the user you want to chat with. If it\u2019s a user that you\u2019ve previously interacted with, they will pop up in the results. If they\u2019re new, click on <em>Search [email address] externally. <\/em>Teams will locate them, categorize them as an external user, and you can start chatting.&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-\"><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/lh3.googleusercontent.com\/_3sX6J6WWGfXoioqaw4UpRtWPncfowYMq9ppswWGI8pBMw1ax4E8hSh4DfXdPRITuv0h2-Mkv4nsMXYtTUnQrFXgbqAuPEy-LCDmbtWYdhiobxd6Gj84WNQd4aPTvtWwaVxWETkIEQ-0Y9ys1w\" width=\"624\" height=\"107\"><\/h3>\n\n\n\n<p>Chatting with guest users takes the same form as chatting with your internal staff as you\u2019re giving them temporary access to your team.&nbsp;<\/p>\n\n\n\n<div style=\"height:50px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-arranging-meetings\">Arranging meetings&nbsp;<\/h3>\n\n\n\n<p>The simplest way of arranging <a href=\"https:\/\/nboldapp.com\/microsoft-teams-meetings\/\" target=\"_blank\" rel=\"noreferrer noopener\">meetings<\/a> in Teams that includes people outside your organization is to either go to the calendar app in Teams and input their email address as an invitee or create a calendar invite from Outlook and similarly, invite them to the meeting.&nbsp;<\/p>\n\n\n\n<p>People who don\u2019t use teams will be able to connect without having to install Microsoft Teams, a web browser is sufficient.&nbsp;&nbsp;<\/p>\n\n\n\n<div style=\"height:50px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-collaborating-on-files\">Collaborating on files&nbsp;<\/h3>\n\n\n\n<p>As already noted, users with guest access can collaborate on documents just like other team members. If you wish them to have access to only one channel, you can create a Shared channel designed exactly for these purposes. Your guest users will have access only to the shared channel they were invited to, and the rest of the channels will stay hidden. Learn more <a href=\"https:\/\/nboldapp.com\/shared-channels-in-microsoft-teams-improve-your-collaboration\/\" target=\"_blank\" rel=\"noreferrer noopener\">here<\/a>.<\/p>\n\n\n\n<p>But how can you do that with external users who you didn&#8217;t provide with access? Here is a quick tip:&nbsp;<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Go to the files tab where you stored the document you want to share.<\/li><li>Open the document and in upper left side you will see a share icon that says <em>Copy Link<\/em>.<\/li><\/ol>\n\n\n\n<ol class=\"wp-block-list\" start=\"3\"><li>When you click on it a new window pops up with link settings.&nbsp;<\/li><li>From here, you can choose who you want the link to look for.&nbsp;<\/li><\/ol>\n\n\n\n<figure class=\"wp-block-image is-resized\"><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/lh3.googleusercontent.com\/rmA5e-gtep2AEDB57XjNtIFqCmdXmz-suCAIbvf1q_qGxzrB0Q2RE1Uki3MXuPdvY1BsUx3Ne_wWbshMR_xDO1UFw4eKVWWPjBLsMNCNFSMZeUR8vs5FwpWpwzdiO8qM7NawJ1wy-S4ac2pNlQ\" alt=\"share file link in microsoft teams\" width=\"388\" height=\"543\"\/><\/figure>\n\n\n\n<ol class=\"wp-block-list\" start=\"5\"><li>Go to <em>Specific people <\/em>and input the email address of the external user.&nbsp;<\/li><li>Click on <em>Apply <\/em>and you will have a link that you can share with that particular external user.&nbsp;<\/li><li>If you want them to be able to edit the file in addition to viewing, enable the <em>Allow editing <\/em>button.&nbsp;<\/li><li>When the external user receives the link, Microsoft will send a confirmation code to the email mentioned by you and only after entering the right code, will they be able to work on the file.&nbsp;<\/li><\/ol>\n\n\n\n<div style=\"height:100px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-safety-and-security\">Safety and security<\/h2>\n\n\n\n<div style=\"height:50px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p>Collaborating with people outside the organization has always raised many security concerns. Uncontrolled sharing, data leakage, and loss of sensitive information are a few examples of what could possibly go wrong in collaboration platforms. However, Microsoft Teams has developed a firm external sharing system by dividing permissions into different levels.&nbsp;<\/p>\n\n\n\n<p>Even in Microsoft Teams, there are some security recommendations to keep the organization\u2019s data safe and protected:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Allow minimal permissions and enable what\u2019s necessary for guests to complete their work without additional features.<\/li><li>Decide who has the ability to invite guests into Teams. Is it admins? Non-admins? or even guests.
